Calendar
Unified view of your Calendly and Google Calendar appointments. Calendly events additionally match to patient records by invitee email.
Calendar views
Week view is the default. Day and week grids cover 7am–8pm.
| View | Best for |
|---|---|
| Day | Today's schedule with full event details |
| Week | Standard weekly overview (default) |
| Month | Planning ahead; compact cards show start time only |
Sources
| Source badge | What's pulled |
|---|---|
| Calendly (blue) | Scheduled events with invitee info, matched to patients by email |
| Google (red) | Events from your primary Google calendar (read-only) |
Events from both sources appear together, color-coded by source. Day and week cards show the source badge; click any event to open the Event Details sidebar with a Join Meeting link and an open-in-source link.
Cancelled and rescheduled events keep their badges, with the original time shown for reschedules.
Patient context on events
When a Calendly event's invitee email matches a patient, clicking the event shows patient context in the Event Details sidebar. Google events display as calendar entries only; they aren't matched to patients.
What you'll see
- Primary Diagnosis
- Last Session summary with its date
- Past-session count (shown when there's no diagnosis or summary yet)
- View Patient button to the patient record
Unmatched invitees show "(Not in system)" next to the name, and upcoming unmatched events also surface on the Dashboard's Unmatched Appointments card.
Matching rule
Exact email match, case-insensitive, no fuzzy matching. A patient can carry multiple linked emails: add extras from the patient's Visits tab (Add Linked Email) so events booked under a spouse's or work address still match.
Unmatched events get Link to Existing Patient and Add as New Patient actions instead — see Quick-add patient.
Quick-add a patient
When a Calendly event's invitee doesn't match a patient, the Event Details sidebar offers two actions:
- Link to Existing Patient: attach the invitee's email to a patient already on your roster (adds a linked email so future events match)
- Add as New Patient: open the Add New Patient dialog pre-filled from the event
What Add as New Patient pre-fills
- Contact email (the invitee's)
- Guardian first/last name, parsed from the invitee name
You still provide
- Patient first and last name (required; the invitee name lands in the guardian fields, not the patient's)
- Date of Birth and gestational age if preterm
- Program selection: which app the family gets — see Programs & invite options
- Anything else from Adding a patient
From here, the flow is identical to manual patient entry.
