Billing codes & summary

Step 5 — Billing Codes

Turn the session into a billable record. This step is optional: with no codes selected the footer reads Skip & Continue.

Select CPT Codes

  • The list is filtered to your discipline (derived from your NPI taxonomy: RD, SLP, MD, etc.), with an All codes toggle and a Common filter.
  • Per selected line: units and unit charge. Untimed codes lock units at 1 ("This code bills one unit per day, whatever the session length").
  • Codes come from the built-in catalog; see CPT & ICD-10 library. Free-text custom codes aren't supported.

ICD-10 diagnoses

  • Search and select from the catalog; amber stars mark commonly used codes.
  • Some codes carry a Requires referral badge (diagnoses RDs can't make independently).
  • Diagnosis pointers on the claim are derived automatically from the order of your ICD-10 list.
  • A claim can't be generated without at least one diagnosis.

Visit Setting

  • Place of service: telehealth, office, home, and other standard codes
  • Telehealth modifier: 95, 93, GT, GQ, or "None, this was in person"
  • Therapy plan of care: GN, GO, GP, or none

Modifiers apply to the session, not per line.

Billing Summary

Selected services with units, charge per unit, line totals, and estimated total, plus a verify-before-submitting disclaimer.

Step 6 — Summary

Review everything and sign. This step unlocks once the Notes step has a clinical note.

Superbill, CMS-1500, and the Meal Plan PDF are generated in their own steps (5 and 4) and remain available from the signed session page.

Signing

To sign, the session needs a date, type, start and end time, and at least one clinical note (intervention or ADIME/SOAP). Goals, billing, and the transcript never block signing.

After Sign & finalize:

  • The session locks ("Session signed and locked"). Statuses: Draft → Signed, and Amended if you later add an addendum.
  • Connected families see the results in their app: "The meal plan and nutrition goals appear in their mobile app. Session notes and recommendations become visible to them."
  • Later changes go through addendums or an unlock with a typed reason: Editing a past session.
