Resending invites & re-onboarding
For families who lost the invite email, dropped off during onboarding, or need a different app turned on.
Patient statuses
| Status | Meaning |
|---|---|
| ACTIVE | Onboarding complete (or nothing was required) |
| PENDING | Invite sent; onboarding not finished |
| PENDING_REGISTRATION | Registration forms outstanding |
| PENDING_ACCEPTANCE | Forms done; waiting for the family to accept the app connection |
| INACTIVE | Archived |
| WAIVED | Required steps skipped (typically in-office onboarding) |
Automatic reminders
Invited families get an automatic email drip until onboarding completes: welcome on day 0, a reminder on day 3, and a final reminder on day 7. Record-only and no-email patients skip the drip.
Manual actions
From the Patients list row menu:
- Send Registration Reminder — for PENDING_REGISTRATION patients with outstanding forms.
- Send App Reminder — for PENDING / PENDING_ACCEPTANCE families who haven't entered their code.
- Archive / Reactivate / Delete — manage the roster.
- View the patient's invite code without opening the record.
From Patient record → Settings → Program Access:
- Send reminder email — re-sends the app invite with a preview; same code, same record.
- Issue a new code — invalidates the old code; everything that's on switches to one new code.
- Turn programs on or off — add Heartful Baby for a family already on Heartful Sprout, or turn an app off entirely. Turning off keeps everything already shared in the record.
From Settings → Onboarding: waive or re-require individual onboarding steps (registration, insurance, HIPAA, custom forms), or Reset to Org Defaults. Settings → Patient Status has a Force Active override that skips all requirements.
Re-issuing an invite never resets the patient record. Sessions, growth data, and shared logs are preserved.
